What is a Volunteer Shadow Board Member?

Our shadow board is a group of people with experience of the healthcare system. This includes patients, ex-patients, service users, clinicians, carers, healthcare workers, administration staff, and educators.  Other community members with an interest in health and social care are also involved.

Who is eligible to apply?

Anyone with an experience of healthcare systems can apply. It doesn’t matter what your engagement length or specialism is. We need people who have time, and a passion for making a difference to the future of digital health.

What will I be doing?

You’ll join regular group calls to review and assess our platforms. This is usually an informal, online discussion with lots of visuals. We’ll send an agenda out before the call.

Conversations may be in a group or on a one-to-one basis. We may ask for your opinions about the successes and challenges that you might encounter if you were a user of one of our digital services.

Generally, we discuss feature ideas with you, show you designs, and give you prototypes or features to try using so that you can evaluate them.

Privacy and control

What do you do with my feedback?

We use your feedback for research purposes and service development. We may also use it anonymously for product promotion. No identifying information is in materials presented to anyone outside of the product team.

Once we’re sure the data is anonymous, we keep it for analysis. This means the information can’t identify who you are, but it may be used as the basis for ‘user testimonials’ or ‘user stories’. These help us explain our approaches to design decision making.

With advanced permission, you may also be recorded on audio or video when providing feedback. This allows our designers/researchers to have transcripts to work from when analysing the outcomes and forming design recommendations. Recordings won’t be shared outside of the product team.

How do you handle my personal data?

We store all personal data securely. Access is restricted and password protected. Your data will only be used for user testing on our products.

How often will you contact me? And how?

We’ll send you an email invite once a month to join our regular shadow board meetings. If you miss a number of sessions, we’ll contact you to check you’d still like to be a part of our shadow board. We will not contact you for any other purpose than user testing.

Reward and expectation

How often do Board Members meet?

The board meets once a month at an agreed time. We’ll then look at ways to improve our platforms and you’ll be able to take part in research activities which help us scope new digital healthcare interventions.

What is in it for me?

Becoming a volunteer shadow board member for Mindwave carries some status in the digital healthcare community. It provides you with the chance to meet like-minded people and important figures in the industry. The sessions will provide a range of topics and opportunities for you to learn more about digital healthcare.

You can state your involvement in the future of digital healthcare for the NHS and other clients. You’ll also be able to influence areas you’re passionate about. 

Sometimes, we may invite you to join us at industry events as a community co-designer, celebrating the brilliant ideas you were a part of.

We ask that you attend meetings as regularly as you can. And participate as fully as you can with as much enthusiasm as you can! There are no wrong answers – we’re not testing you at any point.

If you find something difficult to use, or you dislike it, others might, too. Your feedback is very helpful. No one will be offended or unhappy if you don’t like some, or all, of what you see.

You can stop user testing at any time without giving notice or reason. You can also opt out of any audio/video recordings.
